Overview

We are seeking a proactive and detail-oriented Commercial Conveyancing Administrator to provide administrative and clerical support to our busy Commercial Property team. The successful candidate will assist solicitors and fee earners with case management, document preparation, and client communications to ensure transactions progress efficiently from instruction through to completion.

Key Responsibilities

  • Provide day-to-day administrative support to fee earners within the commercial conveyancing team.
  • Open new client and matter files, ensuring all compliance and AML checks are completed.
  • Liaise with clients, solicitors, lenders, local authorities, and third parties by phone and email.
  • Maintain and update case management systems, document databases, and file records.
  • Handle incoming and outgoing post, DX, and document filing (electronic and hard copy).
  • Prepare completion statements, Land Registry forms, and other relevant documents as directed.
  • Chase and track progress on searches, title deeds, and other key documents.
  • Manage the scheduling of meetings, diary entries, and key transaction deadlines.
  • Support billing and financial processes including raising invoices and disbursement recording.

Skills and Experience

  • Previous experience in a conveyancing or legal administrative role (commercial or residential).
  • Strong organisational and multitasking skills, with excellent attention to detail.
  • Confident communicator with a professional and approachable manner.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and ideally experience with legal case management systems.
  • Ability to work effectively under pressure and meet tight deadlines.
  • A good understanding of the conveyancing process, Land Registry procedures, and compliance requirements is desirable.

Qualifications

  • GCSEs (or equivalent) including English and Maths at Grade C/4 or above.
  • Further legal or business administration qualifications (e.g. CILEX Level 2/3) are desirable but not essential.
